Connecting WhatsApp Training to Your HRMS: SAP SuccessFactors, Darwinbox and Keka Integration Explained

Quick answer
How HRMS integration with a WhatsApp training platform works: auto-enrolment from new-joiner events, completion flowing back, SSO, webhooks. SuccessFactors, Darwinbox, Keka.
Editorial note: Leap10x's website names SAP SuccessFactors, Darwinbox and Keka as HRMS/HRIS integrations, alongside LMS integrations, REST API, SSO and webhooks on Enterprise plans. The specific field mappings, sync frequencies and configuration steps below describe the general integration patterns for these systems; confirm the exact Leap10x connector capabilities with the product team before publishing anything more specific than what appears on leap10x.in.
The short answer
Connecting a WhatsApp training platform to your HRMS means two flows. Inbound: when a worker is created, changes role or site, or leaves in the HRMS, the training platform learns about it and enrols, re-assigns or deactivates them automatically, using the mobile number as the identity. Outbound: when a worker completes a module, passes a quiz or earns a certificate, that result flows back to the HRMS (or LMS) so training status appears in the employee record. The mechanisms are a native connector, a REST API, webhooks, or a scheduled file exchange; most deployments use two of those. Leap10x integrates with SAP SuccessFactors, Darwinbox and Keka, with REST API, webhooks and SSO on Enterprise plans.
Why integration is the difference between a programme and a spreadsheet
Without integration, someone in HR exports a list of new joiners every Monday, cleans it, uploads it to the training platform, and manually removes leavers. It works for a pilot. At 5,000 workers with 60% annual turnover it is a part-time job, and it is always a week behind, which means new hires spend their first week untrained and leavers keep receiving messages.
With integration, the new joiner's first WhatsApp training message arrives on the day HR creates their record, sometimes before day one; our preboarding piece shows why that window matters. Role changes trigger the right modules. Leavers stop receiving anything. Completion appears where managers already look, in the HRMS profile, instead of in a separate dashboard nobody opens.
The frontline-specific point: because these workers have no email and no desk, the HRMS is the only reliable source of who they are. Integration is not a convenience; it is how the training platform knows the workforce exists.
The four integration patterns
1. Native connector. A pre-built integration between the training platform and a specific HRMS. Configure once (credentials, field mapping, sync rules); the platforms talk directly. Least effort, most dependent on both vendors maintaining it. Leap10x lists SAP SuccessFactors, Darwinbox and Keka in this category.
2. REST API. The training platform exposes endpoints (create learner, update learner, assign course, fetch completions). Your IT team or an integration partner writes the calls from the HRMS side or via middleware. Most flexible; requires someone to build and maintain it.
3. Webhooks. Event-driven. The HRMS (or the training platform) fires a message to a URL when something happens: "employee created", "course completed". The receiving system acts on it. Near real time, lightweight, good for triggering enrolments and pushing completions back without polling.
4. Scheduled file exchange. A CSV/Excel export from the HRMS dropped to a secure location nightly; the training platform ingests it. Old-fashioned, robust, and still the right answer for HRMS platforms without an API or for organisations whose IT security prefers it. Leap10x supports bulk CSV/Excel upload on all plans.
Most enterprise deployments combine a connector or API for the learner master with webhooks for events, and keep file exchange as the fallback.
What flows in, what flows back
Inbound (HRMS → training platform)
| Field | Purpose |
|---|---|
| Employee/worker ID | Stable key |
| Mobile number | Learner identity and delivery address |
| Name | Personalisation |
| Role / designation | Which journeys to assign |
| Site / location / cost centre | Reporting, supervisor mapping |
| Shift | Scheduling delivery |
| Language preference | Which language version to send |
| Manager / supervisor ID | Who sees this worker's completion |
| Employment type | Permanent, contract, apprentice; affects programmes and reporting |
| Status and dates | Joined, transferred, exited; triggers and deactivation |
Notice what is not on the list: salary, bank details, address, ID documents, performance ratings. The training platform does not need them and should not receive them.
Outbound (training platform → HRMS or LMS)
| Field | Purpose |
|---|---|
| Course/module ID and version | What was completed |
| Completion timestamp | When |
| Quiz score | Evidence of understanding |
| Certificate ID and expiry | Compliance status |
| Roleplay/assessment score (if used) | Readiness |
In the HRMS these typically land in a learning or certification record on the employee profile, or feed a compliance dashboard. Where the organisation keeps a corporate LMS as the system of record for training, completions can flow there instead; Leap10x integrates with LMS platforms for that reason, so the WhatsApp layer and the LMS report together rather than in parallel. Our LMS vs LXP vs Training OS piece describes the architecture.
System notes: SuccessFactors, Darwinbox, Keka
Each HRMS has a different centre of gravity; the integration should respect it.
SAP SuccessFactors. Common in large Indian manufacturing, BFSI and conglomerates. Employee Central holds the worker master; the Learning module (if licensed) may be the training system of record for head office. Typical pattern: sync Employee Central to the training platform for the frontline population (filtered by employment type or location), and either push completions back into SuccessFactors Learning as external learning items or into a custom field on the profile. Large SuccessFactors estates often have an integration middleware layer already; use it rather than a point-to-point build.
Darwinbox. Widely used by Indian mid-to-large enterprises with big frontline populations, and often the first HRMS to hold contract and gig workers as well as permanent staff. Typical pattern: connector or API sync of the worker master including employment type, webhooks on joiner/mover/leaver events to trigger enrolment, completions written back to the employee's learning record. Because Darwinbox often already holds the mobile number as a primary contact and supports mobile-first employee self-service, the identity mapping is usually clean.
Keka. Popular with growing Indian companies and mid-sized frontline employers in retail, services and logistics. Typical pattern: API or scheduled export of the employee master, enrolment on joiner events, completion written back. Keka estates tend to be simpler, so a connector plus a nightly file fallback is often enough.
For any of the three, the questions to settle before configuration are the same: which population syncs (all, or frontline only), which field is the identity key (employee ID with mobile as delivery address is safest), how often (event-driven for joiners and leavers, nightly for everything else), and where completions land.
Handling the people who are not in the HRMS
Every frontline organisation has them: contract workers on a contractor's payroll, agency collection agents, distributor sales staff, business correspondents' field teams, daily-wage labour at a site. They need training, often mandatory, and your HRMS has never heard of them.
Design for this from the start rather than treating it as an exception:
- Supervisor enrolment by phone number. A site supervisor, regional manager or contractor supervisor adds a worker from their own phone. The learner is tagged with the contractor or partner name for reporting. See contractor safety induction for the plant version and training dealers, distributors and channel partners for the extended-enterprise version.
- Separate learner groups. Non-HRMS learners live in groups by employer, so reports can split permanent, contract and partner populations, which is exactly how auditors ask for them.
- No dependency on the partner's systems. The partner's HRMS is not your problem. The phone number is.
Integration for the people in the HRMS; phone-number enrolment for the people who are not. Both feed the same records.
SSO, and why learners don't need it
Single sign-on comes up in every enterprise integration conversation. Separate two audiences.
Administrators and supervisors who log into the training platform's dashboard should use SSO with your identity provider. Leap10x supports SSO on Enterprise plans. Standard practice.
Learners on a WhatsApp-first platform do not log in at all. The training arrives in WhatsApp, or via a magic link, or a QR code; the worker's identity is their phone number, authenticated by the channel. Adding SSO for learners would reintroduce exactly the friction the model removes, and most frontline workers are not in the corporate identity provider anyway. The zero-app employee experience explains why this is a design choice rather than a gap.
Data minimisation: send less than you think
Integration projects have a habit of syncing every field because it is easier than choosing. Do not. Under India's data protection law the employer is the data fiduciary and the training vendor is a processor; sending fields the processor does not need is a compliance exposure with no benefit. Our DPDP Act guide for training covers the obligations; the integration-specific rules are simple:
- Sync only the fields in the inbound table above, and only for the population being trained.
- Use the employee ID as the key and treat the mobile number as a delivery attribute.
- Do not sync sensitive categories at all.
- Document the field list in the data processing agreement.
- Deactivate learners on exit and delete on schedule, with the retention exception for statutory training records documented.
An integration checklist for the RFP
Ask every training vendor:
- Which HRMS platforms have native connectors? (Leap10x: SAP SuccessFactors, Darwinbox, Keka.)
- Is there a documented REST API, and can we see the documentation before contract?
- Are webhooks available for joiner/mover/leaver events and for completion push-back?
- Is bulk CSV/Excel upload available as a fallback and for non-HRMS populations?
- Can we filter the sync to the frontline population only?
- Where do completions land: HRMS learning record, LMS, custom field, all three?
- Is SSO available for administrators, and via which protocols?
- What is the sync latency for a new joiner (event-driven vs nightly)?
- What happens to a learner's records when they leave and rejoin?
- Is integration work included in the plan or scoped separately, and who does the HRMS-side configuration?
The 40-question frontline training platform RFP has the wider list.
Common integration failures and how to avoid them
Integrations rarely fail on the technology. They fail on the assumptions underneath it.
The mobile number field is unreliable. The single most common problem. HRMS records hold an old number, a relative's number, or a blank. Before integrating, run a report on the mobile field for the frontline population: blanks, duplicates, obviously invalid values. Fix at source. Then treat delivery failures in the training platform as a data-quality feedback loop back to HR, not as a training problem.
Everyone syncs. The integration pulls all 12,000 employees when only the 7,000 frontline staff need training on this platform. Result: head-office staff receive WhatsApp training messages they did not expect, and the learner count (and possibly the bill) is wrong. Filter the sync by employment type, grade band or location before the first run.
Role names do not match. The HRMS says "Executive – Operations (Grade 3)"; the training platform's journey is assigned to "Machine Operator". Build a mapping table before go-live, own it in L&D, and review it quarterly as HR adds designations.
Leavers are not deactivated. The sync creates joiners but nobody configured the leaver event. Six months later, hundreds of ex-employees still receive reminders. Configure exit handling on day one, and confirm it with a test leaver.
Rejoiners become duplicates. A seasonal worker returns; the HRMS issues a new employee ID; the training platform creates a second learner with no history. Decide the identity rule (employee ID with mobile as tie-breaker, or vice versa) and handle rejoiners explicitly.
Completions flow back to the wrong place. Training results are pushed to a custom HRMS field nobody looks at. Agree with the HR system owner where completion should appear so a manager actually sees it, and test it from the manager's view, not the admin's.
Contract workers are forgotten because they are not in the HRMS. The integration is perfect and covers 60% of the workforce. Design the phone-number enrolment path for the other 40% at the same time, not afterwards.
The integration is owned by nobody. It was built by a contractor during implementation and no one internally knows how it works. Insist on documentation, a named internal owner, and a monitoring alert when the sync fails or the failure rate on deliveries spikes.
A one-week dry run, syncing a single site and checking every one of these, saves months of quiet data drift. It is also the moment to confirm the DPDP field-minimisation list is what actually flows.
FAQ
We use an HRMS not listed. Can we still integrate?
Almost certainly, via REST API or webhooks, or scheduled file exchange as a minimum. Ask.
Can training completion trigger something in the HRMS, like a gate pass or a probation milestone?
That is what webhooks are for: completion event fires, the HRMS or another system acts. Scope it as part of the integration.
What if the mobile number in the HRMS is wrong?
It happens. Failed deliveries surface in the dashboard; route them to HR to correct the master record. The integration then fixes itself on the next sync.
How long does integration take?
A native connector: days. An API build via middleware: a few weeks depending on your IT team. File exchange: a day. Bulk upload for a pilot: immediately.
